Yacht management companies will have a person or team specialising in yacht accounting and will be able to deliver a complete financial administration package that is tailored to each vessel’s needs.

The owner or captain will be provided with regular accounting reports and maintain routine communication with all relevant parties when it comes to planning or changing the yachts budget.

Having a company managing the yacht’s finances will ensure that expenditure is monitored and that consistency and predictability in the yacht’s financial operations are maintained.

Crew Management:

Management companies will have a crew recruitment and management division who are experts in placing the right crew on the right yachts. This process will begin by searching for suitable candidates, verifying their qualifications, experience and references of each applicant and there after presenting a short list of suitable candidates to the captain and / or owner. The agent at the management company will then organise interviews and once the successful applicant has been selected, organise joining arrangements upon job acceptance.

Once the crew member has been placed, the agent will receive, process, verify and keep on file all crews’ certifications and next of kin details. They will issue seafarer employment agreements as well as facilitate all monthly payroll for all crew on board.

A management company will conduct routine crew administration, support and repatriation as well as assist and oversee any crew medical insurance claims. An agent at the management company will be able to advise owners and captains on any and all up to date MLC requirements, complaints or grievance raised.

Refit, maintenance and new-build project management:

Yacht management companies will have expertise to project manage a new build or alternatively, manage minor or major refit works on a currently owned or recently purchased vessel. From sourcing quotes from multiple shipyards for comparison purposes to having someone on the ground managing the day-to-day operations, these are all services available to yacht owners.

Most management companies will have teams made up of experienced engineers, captains and surveyors who have all made the maritime industry their lifelong careers.

A yacht refit is a complex business. Without effective management, careful planning and ongoing evaluation, it’s something that can quickly go over budget and schedule. Having an effective management company to ensure the refit is efficient and economical is key.

A management company will start by understanding exactly what the owner would like from a refit, make a detailed plan, contact suitable yards for the refit to source detailed quotes, assist with logistics and have a member of their team on the ground on the owner’s behalf.

Each yacht will need to carry out routine planned maintenance according to the build, hull material and age of the vessel, as all vessels have varied legal requirements when it comes to planned maintenance.

For example, hulls made from different materials such as fibreglass or aluminium will have different requirements when it comes to hull inspections; one may only need to be inspected every five years whereas another material will need to be inspected every two.  

Safety management (ISM & ISPS):

All vessels, including yachts, have to adhere to safety and security protocols. The two most important are the ISM Code (International safety Management) and ISPS Code (International Ship and Port Facility Security). A yacht manager will be well versed in both these codes and will ensure that the yacht is kept up to date with changes in regulations, as well as ensuring that the yacht is adhering to each and every regulation.

ISM is required in order to maintain an international standard set of safety and pollution prevention rules and ISPS, which is an amendment of SOLAS (Safety of Life at Sea), lays out the minimum safety requirements vessels need to enforce on board. This will vary from vessel to vessel based on the gross tonnage.

Insurance management:

All yachts must be comprehensively insured to travel freely and be accepted in ports worldwide. A yacht management company will be able to source key policies for your yacht.

Each yacht’s insurance arrangements are specific to the vessel. The premium will depend on the waters the yacht is sailing in, the size of the yacht, how often the yacht is being used and much more.

Registering your yacht:

There are many legal procedures in the process of yacht registration. Whether your yacht is going to be registered as a commercial or private vessel, yacht management companies will be able to assist with all legal processes and paperwork to complete the registration correctly and efficiently.

Technical and shore side support:

Technical support management includes all aspects of a yacht that allow it to function safely. Technical items include maintenance, repairs, routine services, purchasing equipment and spares from vendors and sourcing the best crew possible for the yacht.

In an emergency situation, the technical support team at a management company is able to provide shore side support by contacting relevant parties such as coast guards and nearby vessels.

The technical management team at a management company will also be versed with multiple security solutions by fulfilling the role of a DPA (Designated Person Ashore) which is the first point of onshore contact for the Captain and crew.

Owners' guide to yacht management companies

Moving up from a yacht of less than 30m to 40m, 50m or more, increases the complexity of the yacht orders of magnitude. The owner of a large yacht likely will find he or she no longer has the time, the will, or the administrative resources to navigate a jungle of yard contracts, legal hurdles, insurance options, regulations, crew management, charter management, logistics or the myriad other details associated with building, repairing or ownership.

A yacht owner going it alone may find what once was a pleasant escape from the stress and pressures of the workaday world is now a surly beast in constant need of attention.

'As yachts increase in tonnage, so do the demands on the owner. A management company takes the day-to-day burden and responsibility of running the yacht away from the owner,' says a member of the Burgess Yachts management team. 'More importantly, [managers] are there to respond to urgent situations and emergencies around the clock, and to provide advice to the owner and crew in all areas.'

Running a yacht is a full-time job

Boats are inherently needy machines. Quality time on the water rarely comes without at least a modicum of thought for their care and feeding.

Owning a superyacht can take on characteristics of running an international business. For some, a competent corporate accountant and a talented captain may be able to manage the program, but for many, at least some level of professional shore-based yacht management can be a welcome relief.

'The larger the yacht, the more likely it is for such services to be contracted out. This will allow the captain to focus on its safe and smooth operation.'

Yacht management comes in many shapes and sizes depending on an owner's individual requirements. Owners may decide to hire a small firm or individual expert to handle one element. such as regulatory compliance, and another for charter management.

A number of firms, large and small, offer 'full lifecycle' management for every aspect of ownership, beginning with an owner's decision to build a new yacht and end with its sale.

'Our yacht management services,' says the Burgess manager, 'are tailored to each owner's specific needs and can include operations support, technical management, safety management, security management, crew administration, emergency response, insurance administration, creation of a robust offshore crew employment structure, financial management and technical consultancy.

'We also can be used as an on-call advisor for any of the owner's yachting needs.'

Other large companies offer similar menus covering a broad range of services from which owners can choose a full or partial package or take the services à la carte. Burgess says 90 per cent of its fleet is under what is termed 'full management'.

Edmiston & Company says 80 per cent of its fleet is under full management, with the remainder having contracts for some, but not all, of the services the firm offers.

'We have been asked for many other services and are always happy to support a client in any way,' says a senior manager at Edmiston. 'This has included making all necessary arrangements for three tigers to attend a party for 300 people on board a 60m yacht in a US marina.'

Management networks

If a management company does not have on-staff expertise in a specific area, it often has relationships with specialists who do.

For regulatory compliance, it may go to someone like Ken Argent of Water’s Edge Consulting Ltd., who specializes in ISM and ISPS (International Safety Management Code/International Ship and Port Facility Security Code) management and MLC (Maritime Labor Convention) compliance.

Argent’s business provides shore-based regulatory compliance services to yachts over 500GT that are engaged in trade (charter in the case of yachts) as required by the various codes, regulations and conventions.

Most broad-brush brokerage companies offer regulatory compliance services, but, says Argent, ‘Some owners prefer to deal with people who have no connection to a brokerage house.’

Other firms offer a wide range of services, but specialize in a narrower branch of management. Isle of Man-based I-Cap Marine Ltd., is an example of a larger company that focuses on a speciality slice of the management pie. I-Cap Director Stephen Brew described his company as a ‘corporate and statutory manager’.

‘A yacht manager will undertake technical management, day-to-day crew management, and day-to-day operational management of the yacht, in close co-ordination with the captain and crew,’ says Brew. ‘The corporate and statutory management of the yacht, which is what we undertake at I-Cap Marine Ltd., is in very simple terms, the management of the corporate ownership structure.

‘At the same time, we work with nearly all of the major yacht managers for yachts of all shapes and sizes. [When there is a] yacht manager involved, we tend to look after the ownership structure, accounting and VAT compliance, while the yacht managers handle all day-to-day, operational oversight of the yacht.’

Managing private yachts

By some estimates, there are more than 7,000 yachts 24m and above worldwide, but only a small percentage of their owners retain the services of a management company. Those who don’t are likely owners of private yachts that do not engage in commercial activity such as charter. So who’s coordinating all the details if not a management company?

Often captains serve as the lead management executive, hiring crew, keeping books and managing the technical aspects of the yacht. But an owner moving up in class may find the added layers of regulation and compliance strain the resources and time of his captain.

Some owners use accountants or managers within their businesses and software such as Marine CFO or Manage My Vessel to coordinate those activities in conjunction with the captain. The owner of the 85m Cakewalk, launched in the US in 2010, established a separate entity to handle the management details of his yachts.

‘We started our own management company, Yacht Logistics Inc., in 2000, after the launch of the 62m Cakewalk [the owner’s previous yacht],’ says the owner’s long-time captain, William Zinser.

‘We sent a former crew member to school to learn the safety management program required to manage our vessel. We set up our own payroll, insurance, immigration lawyer, accountant and our own safety management program,’ continues Zinser, ‘which ended up being less expensive than the alternatives. We use a shoreside engineering company and pay them as we go.

‘I initiate and oversee all of the SMS [Safety Management System] on board Cakewalk and delegate its implementation to the necessary crew to make sure it is adhered to.’

Zinser, who is a partner in Yacht Logistics, says the company now handles safety management, payroll, mail and other services for four other vessels. He thinks a management company is a good choice for novice large yacht owners.

‘A person who has never been a yacht owner before could definitely benefit from a large management company, unless he or she can put all this together himself or herself before purchasing a large yacht,’ he says.

Beware of the well-presented ‘one-stop shop’ approach, as very few companies can actually deliver this in a meaningful way.

Yacht management, the pros and cons of yacht management.

DID YOU BUY your boat for weekend recreation and find it takes four days of maintenance for every two days of enjoyment? Have you canceled a summer vacation on the boat, because the air conditioning wasn't working? Do you live more than a few hours away from where you keep your boat? Do you love operating your boat, but have a hard time remembering where to check the engine oil?

If you answered yes to more than one of these questions, you should consider hiring a yacht management company to help keep up with routine maintenance, so you can focus on enjoying the boat. What? you say. Don't yacht managers just take care of big yachts? I can't afford to pay a management company to look after my boat. That may be, but it's also possible you can't afford not to.

Maybe the term is confusing you, or you don't consider your boat a yacht. Whatever the size of your boat and regardless of what you call it, a vessel management company is likely near you that can not only help you enjoy your boat, but possibly increase the value as well. Well-maintained boats depreciate less than ones poorly maintained.

Contrary to what most boaters think, yacht managers do not just manage large yachts or work for absentee owners. Bill McLean, of Williams' Yacht Management in Annapolis, MD, said in the 20 years he and his partner Tim Boteler have owned their business, the average size boat they take care of is about 45 feet and more than 60% of his clients live near their boat.

Yacht management is also not an all or nothing proposition. A good yacht management company will let you buy their services on an a la carte basis. One boat owner I spoke with said, With a 50-foot boat, there is always something to fix, clean or polish. With a yacht management service, I can do as little or as much as I want. I like to tinker and can fix most things, but I don't want large projects. I let the professionals do all the heavy work, along with cleaning and waxing. We all have busy schedules, and this allows more time to enjoy the boat and gives confidence there is an expert eye watching it.

Not all yacht management companies operate the same way. Some are strictly managers and subcontract all the work to others. They literally manage the work done on your boat instead of you. Other companies directly employ workers to do some of the work, such as detailing, winterizing, and simple maintenance, only bringing in subcontractors for complicated electrical and mechanical work.

In either case, yacht management companies likely know all of the best marine contractors and get better pricing and response time from them. You may call a marine air conditioning technician once every few years, but a successful yacht manager with a full clientele may call them a dozen times a year. The technicians want to keep a good yacht management company happy, as they are a potential source of a lot of business.

When considering a yacht management company, look carefully at how they will bill you. Billing should be completely transparent, and they should only bill you for their time. If they bring in a subcontractor to work on your boat, you should know who that contractor is and see all his invoices. A yacht management company is most benefits you in the role of a manager, not as a middleman marking up the subcontractor's work.

Another way to evaluate the value and cost of using a yacht management company is to look at how the company charges for its service. Is it by the hour or by the foot or size of your boat? Each method has advantages and disadvantages, so discuss with them what works best for each of you.

Yacht managers also bring value by their experience. Problems on a boat often come from a variety of causes. Experienced yacht managers have seen more on the multiple boats they manage than hopefully you will ever experience on your boat. Their expertise can save you time and money by zeroing in on the likely cause of a problem right away.

If you've been boating long, you probably have a good relationship with the boat yard where your vessel is hauled and serviced. Hiring a yacht manager doesn't have to interfere or replace that relationship; in an ideal world it enhances it. A good service yard manager and a good yacht manager do not view each other as competitors, but rather partners in helping you maintain your boat.

Plus, yacht managers often have a better relationship with a yard in the same way they do with technicians. Due to the number of boats a yacht manager can bring to a yard, service managers typically take good care of them. This has the potential to move you up in the schedule or give you a quicker turnaround in your project.

For boaters working full-time jobs, a yacht manager may save you money by meeting technicians on your boat during the week when you might otherwise have to take time off work. They can stay on top of technicians working on your boat, because it is their full-time job, while it's a distraction from yours.

If you keep your boat in an active boating area, you should have multiple yacht management companies from which to choose, so interview them carefully.

  • Ask how they invoice.Most will ask for a credit card number to keep on file, so make sure their policy is to send you a copy of invoices to review before they automatically use your credit card for payment.
  • Ask for references.Avoid any that require an annual contract or an annual fee or retainer. If they employ technicians on their own staff, inquire if they are ABYC (American Boat and Yacht Council) certified.
  • Ask about the retention rate of their technicians.

A high turnover in employees is not a good sign. Many yacht managers have long-term clients. Sean McClash of Tampa Bay Yacht Management said about one third of his customers have kept them on to manage their second and third boats.

If you're still not sure whether a yacht management company increases the value of your boat, let's look at the definition of value as it relates to a boat. The value of a boat is the ratio of what you invest into it, divided by the enjoyment you extract from it. If this is purely a financial equation for you, maybe you shouldn't be boating.

Boating can be an expensive leisure activity, but ask yourself what is the value of the friendships you've made boating or the places you visited aboard the boat? If you boat as a family, what is the value of the gift you've given your children of time spent together on your boat?

Imagine the value of every time you arrive at your boat, you can start the engines, pull the lines and go out to enjoy it. Also, imagine if every time you arrive at your boat, it's clean and everything is in working order. This is the value a yacht manager can bring ... so maybe they're not so expensive after all.

Career Pathway

Career path: Many managers come from superyacht crew who come ashore having the advantage of understanding life on board a superyacht.

Salary: Between a low of £29,000 per annum up to around £50,000 depending upon experience and location.

Duties: Whilst office-based, this does not mean that all the time is spent in the office. Regular visits to the yachts under management is often required and this can involve significant periods away from home.

Full details of what is included in our full yacht management package is detailed below. 

International Safety Management – ISM/ISPS

ISM (International Safety Management) is mandatory for all vessels over 500GT. Although full compliance is not required for yachts 499GT and below, they are required to comply with mini ISM regulations and it is recommended that those yachts also work towards full ISM compliance to ensure the yacht sails smoothly and does not pose any safety issues for its owner, crew and guests.

Here at Edge Yachts we offer full management of all ISM and ISPS requirements for superyachts of all sizes. We also offer a mini ISM that covers the most important safety measures for yachts below 500GT who want to ensure safety remains paramount, without undertaking a full ISM/ISPS audit.

Our approach to each client’s ISM system is completely tailored to the vessel’s needs. Our safety management systems (SMS) take into account the superyachts refit and repair cycle to allow for planned maintenance. All Edge Yachts’ safety and security manuals are approved by all major Flag States*.

As a global security measure, and a part of the International Convention for the Safety of Life at Sea (SOLAS), compliance to the International Ship and Port Facility Security Code (ISPS) is also mandatory for all large charter yachts over 500GT.

Developed after the attacks on 9/11, the ISPS Code provides a standardised and consistent framework for evaluating risk through changes in vulnerability for ships and port facilities through unique assessments of individual vessels. Relevant vessels are required to create a tailored Ship Security Plan (SSP) based on assessments and audits of the onboard operations, as well as the physical attributes of the vessel.

Our team will assist you in every step of ISPS Code compliance, providing advice and guidance to ensure certification is maintained and remains valid, whilst providing a realistic and achievable approach to the day-to-day operation of your yacht.

Our experience with the ISPS Code will guarantee you smooth sailing from the initial development of your SSP through to inspections and audits, and our onshore team offers uncompromising support for your designated Security Officer and Designated Person Ashore (DPA) roles in emergency situations.

Designated Person Ashore & Documents of Compliance

The ISM Code requires that a land-based professional acts as a link between those on board and the owning company of the vessel. Our team of master mariners provides you with the reassurance that your Designated Person Ashore (or DPA) brings with them enormous experience at sea, including on superyachts, and can empathise with any situation your captain and crew are facing.

Custom mini ISM for yachts 499GT and below

Red Ensign commercial yachts under 500GT and over 24m are required to comply with the ISM Code to a mini ISM standard. This is less stringent than the full ISM standard but provides reassurance for guests and charter guests travelling on board that the yacht is as safe as possible. We custom plan each SMS for our mini ISM clients with as much commitment and attention to detail as our largest superyacht clients.

We will discuss your requirements and if needed make a site visit to establish a bespoke package to suit your needs. Many vessels decide that they want a service that exceeds the basic requirements of a Mini ISM but do not require a full ISM audit. This adds value to the yacht for the purpose of insurance or resale value, but is more flexible around daily activity. Edge Yachts can provide a tailored SMS solution for you, without submitting the SMS to Flag State for approval.

*We hold Documents of Compliance for all the major Flag States, including: Cayman Islands, Marshall Islands, Bermuda, St Vincent and the Grenadines, Malta and Jamaica [MCA/UK or US?]. Our team is also Lloyd’s Register certified.

  • Assistance with filing and updating electronic Notice of Arrival Departure (eNOAD)

Edge Yachts provides an eNOAD filing service for superyachts to ease the process and assist the Captain and first officer with their administrative duties on board.

As part of the official monitoring of marine traffic in the United States*, an eNOAD must be filed each time a vessel moves between US Coast Guard COTP (Captain of the Port) Zones. The eNOAD is submitted online in advance of the departure, with a timeframe dependent on the journey the vessel is about to make.

If the voyage time is less than 96 hours, the eNOAD must be filed prior to departure and at least 24 hours prior to arrival. If the voyage time is over 96 hours, the eNOAD must be filed at least 96 hours prior to arrival at the port of destination. Updates to eNOADs are possible but the last update for a 24-hour notice must be made at least 12 hours prior to arrival. If the vessel is departing for a foreign port, the eNOAD must be filed at least an hour prior to departure.

All foreign flagged vessels entering US waters or transiting between designated Port Zones can face heavy fines, boarding and even vessel detention if the eNOAD is not filled out in a correct and timely manner.

For charter yachts this can be especially paperwork heavy during a time when you might have demanding guest on board who want to change the itinerary at short notice.

Our eNOAD service allows your Captain and crew to focus on you and your guest and trust that the administration is taken care of by a team of trusted advisors.

*The eNOAD is a US Coast Guard requirement only and has no bearing on whether the yacht will be cleared for immigration by the Customs and Border Protection authority on an arrival into the United States.

Refit, repair and maintenance are part of a yacht’s ongoing lifecycle after launch. Maintaining your luxury yacht to the highest standards is a complex undertaking, requiring considerable expertise and planning. Responsibility for tracking and scheduling planned maintenance and refits usually falls to the captain and departmental heads onboard, but this can be very time-consuming, particularly when planning ahead for a yard period often takes place in the middle of a busy charter season.

If the refits, repairs and maintenance are not planned ahead of a yard period, costs and time needed can escalate when unexpected work orders are added. On the other hand, if a yard period is well planned, costs are better controlled, standards of workmanship are enhanced and downtime is minimised. Beyond the responsibility of human safety placed on the crew, many priceless items and works of art are often kept onboard. Recruitment protocols should therefore be as rigorous for a superyacht as they would be for a private residence or family office. Simple reference checks do not provide sufficient data to fully understand a candidate’s suitability for a position, and will often not be in-depth enough to consider the potential crewmember’s life prior to yachting.

Coming into force in August 2013, the Maritime Labour Convention 2006 (MLC 2006) caused a significant stir in the luxury yacht world. Having been created as a way of improving conditions for all those who work at sea, it consolidated dozens of existing pieces of legislation from the International Maritime Organization. It also created a number of new hurdles that superyacht owners and captains would have to jump in order to operate for charter.

Areas covered by the MLC 2006 include crew accommodation, payroll, employment contracts, complaint procedures and employee rights. To add to the complexity, as well as home port registration, individual crew nationality can also have an impact on the yacht’s obligations.

Although it can seem daunting, working with a skilled team of yacht management professionals will assist you and your superyacht crew in ensuring 100% compliance to the MLC 2006, giving you peace of mind for any potential inspections by port state control.

Our team of administrative experts understand the nuances and very latest updates on MLC 2006 regulation. Whether you have a private vessel looking to move into charter or a recently delivered new build superyacht, we will guide you through the process of obtaining a Declaration of Maritime Labour Compliance Certificate (DMLCC) and maintaining your status of compliance going forward.

Also relating to environmental issues and water pollution, the Certificate of Financial Responsibility or COFR is a guarantee from the vessel owner or a third party that a superyacht is able to cover its legal liability up to prescribed limits, in the event of the release or threatened release of oil or other hazardous materials.

It is applicable to superyachts of over 300GT using the navigable waters of the US. In the case of superyachts, the COFR is usually a statement of proof of insurance to pay for costs of clean-up and damage relating to a spill up to the liability limits required by the Oil Pollution Act. As a US-based company with USCG approval, Edge Yachts can act as the signing party for COFR applications of non-US flagged superyachts over 300GT looking to cruise US waters.

With the world's largest ocean, North America's highest peak, and the Puget Sound, the Pacific Northwest boasts an abundance of islands and inlets with seascapes of dramatic white-shouldered mountains. These waters allow for remarkable cruising and plenty of hidden anchorages in the San Juan Islands, Vancouver Island or even further north into Desolation Sound and Alaska. 

Expect to see Orca or Humpback whales in these waters, go salmon fishing or drop a Dungeness crab pot if you get your timing right! 

This doesn’t include the Olympic rain forest and dense woodlands right out of the city with snow sport excursions, hiking, mountain biking, and the list goes on with what is available on our doorstep. All outdoor activities can be arranged with minimal fuss and expert assistance. That's our business!
